Before making a donation or purchase for the school, discuss with the principal the following: Is the item/donation desired?
Once it is donated, it becomes the property of the District (however there has never been an incident where it was removed from the school to which it was given!).
Discuss secondary use PTA wishes for unspent funds, if any, from donation.
Work with the school secretary to predetermine expense of items to be purchased with donated funds.
For large purchases and items such as playground equipment and computers, work with the principal and the district's purchasing and bid procedures to determine accurate prices. Request will be treated as a proposed purchase during the bid process until price is determined. Funds may be donated or withheld based on the outcome of this procedure.
Donation Agreement:
- All items or funds donated must be accompanied by this agreement.
- All donation agreements (funds or items) must be signed by two PTA officers and the principal.
- All donations over $1000.00 must be pre-approved by the School Board. The principal will help to secure this.
- A copy of the donation agreement should be provided to the PTA.
- A copy of the receipt, invoice or purchase order for the items purchased with the donated funds should be provided to the PTA upon their request
